Provides administrative support to Executive team. Responsible for performing various administrative duties to support smooth daily operations in BHS Administration. Also serves as a Patient Advocate to patients and their family members in Administration; solving problems, answering questions, and directing patients and their families to the appropriate individual(s) for quick resolution. Understands and follows the organization's policies, procedures and standards. Is an independent worker, meeting the day-to-day needs of administrator and direct reports.

DUTIES AND RESPONSIBILITIES:
Prepares reports, presentations, memos, correspondence, meeting minutes, and special projects.
Responsible for attending, agenda preparation, materials, meeting minutes, notifications for board and committee meetings, during traditional and nontraditional work hours.
Maintains a current and accurate Board of Directors roster, attendance roster, and term limits.
Communicates appropriately and clearly to executives and coworkers, maintains a good working relationship within department, board members and other departments.
Responsible for answering Patient Advocate calls and directing them to the appropriate manager/director for resolution.
Is a resource person and provides services as requested both within the department and to administrative staff of other departments.
Coordinates and reconciles expenses and credit card statements for members of the Administrative department.
Demonstrates the ability and flexibility to deal with pressure to meet deadlines, to be accurate, and to handle constantly changing and stressful situations.
Demonstrates the ability to deal with a variety of people, and handle conflict.
Develops and follows systems to ensure efficient workflow and completion of work by due dates, including meeting agendas and minutes as assigned.
Maintains appointments and calendars for direct report, anticipate conflicts proactively.
Reviews and edits all written materials for correct spelling, punctuation, and composition errors.
Responsible for covering the front reception desk, greet visitors and answer phones professionally in Administration.
Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately.
Assists as needed to support ongoing organization priorities.
Sorts and distributes all incoming mail; identifies mail that needs immediate attention.
Maintains an organized, efficient filing system.
Orders supplies. Assists in cost containment through appropriate ordering and conserving of supplies and equipment.
Manages and operates equipment safely and correctly.
Demonstrates a working knowledge of word processing concepts as well as the ability to operate multiple computer programs.
Organizes and implements projects that involve duplication, collating, distribution, and/or mailing.
Provides assistance with processing travel expenses, coding invoices, distributing communications, and ordering of supplies as needed

Performs other duties as assigned.
Education/Experience Requirements:
Associates Degree, High school graduate or equivalent.
Three to five years administrative experience required.
