Lead Administrative Assistant
This individual will serve in an important administrative support role, often being the professional face of our research program. The person in this position will report to and work directly with the center director, but will be required to interface will multiple individuals on the research team. Dr. Hartert's Lab is seeking to identify causal risk factors for asthma, understand their mechanism of action, and develop and test primary and secondary prevention strategies for asthma and allergic diseases
Serve as the administrative face of our program
Show professionalism in interfacing with center members and external collaborators
Must have outstanding organization skills, attention to detail, precision, and able to multi-task
Must be able to effectively work in a team environment
Excellent writing and editing skills
Specific tasks and skills
Manage scheduling of meetings and calendar management in an efficient and organized manner, creating as little work for others as possible
Respond promptly to inquiries and emails.
Communicate with and fully plan visiting professor itineraries
Manage my professional domestic and international travel
Maintain, update and edit NIH biosketches and my CV
Develop graphics and powerpoint slides
Oversee research participant compensation and auditing, working with a designated research team member
Participate in marketing initiatives for the Center, compiling quarterly website updates and maintaining list of updates
Assist with proof-reading and placing letters of support and recommendation on letterhead with signature and sending to designated person
Maintain reference databases and linking and proofreading the linked references in manuscripts and grants
Maintain updated list of center members and collaborators for the website and acknowledgements section of manuscripts and talk slides
Be knowledgeable about space availability and allocation, how we get computers and phones for team members and how to troubleshoot space issues
Submit Concur expenses
Create and update Center for Asthma Research documents
Work with marketing firms on quotes and place orders
