PROGRAM MANAGER FOR WORKSPACE SERVICES, STRATEGY AND INNOVATION
We are looking for a Program Manager who will operate, lead, and expand our Strategy and Innovation Workspace Services, amplifying the collaboration and impacts of Vanderbilt's people through their use of our 7,000 sqft collaborative workspace. You will apply a passion for enabling others' work, and a 'swiss-army knife' of capabilities in space management, event management, scheduling oversight, and customer relations. While many are moving away from the office, you will work mostly in our workspace hosting groups from across our medical center when they gather to plan their futures and solve their most intractable situations. In addition, you will join your teammates in facilitating workshops that guide groups through the same planning and problem solving.

WHAT YOU WILL DO
- Deliver services to customers using the workspace without facilitation including space design, setup, support, and reset.
- Provide technical support for all workspace equipment (e.g., audio-visual, computers) through diagnosing the need for an expert repair.
- Support workshops as part of our facilitation teams performing duties like stage manager, materials production, participant work capture, space management, and online meeting-room management (Zoom with breakout rooms).
- Handle all reservation requests for Workspace Services.
- Manage logistics and purchasing for all events in the workspace.
- Ensure the workspace is welcoming and ready to work by managing aspects like workwall and furniture placement, seating, supplies, artwork, technology, kinetic toys, knowledge artifacts, and library.
- Manage the overall office suite, the relationship with its residents, and the property manager.
- Manage the scheduling workspace scheduling process and new platform (EMS).
- Forecast workload and expenses for the Workspace Services.
WHAT YOU WILL NEED
These abilities:
- Understand the role of the physical environment - furniture, technology, tools, visual knowledge - plays in amplifying and dampening the results of individual and group work, and translate that into the design and setup of the workspace.
- Independently perform event management including leading teams of peers to perform these functions.
- Independently perform space management.
- Provide comprehensive technical support for audio-visual systems and computers up to when they need an expert repair.
- Deliver customer service with emotional intelligence that relates well with a variety of customers (support, professional, management, and executive) in a facilitative manner in writing, over the phone, and face-to-face.
- Adapt rapidly to changing needs, constraints, and stress in a productive manner.
- Identify when a problem needs an ordered process or more creative exploration, then design and implement solutions for either situation.
- Demonstrate a positive, giving energy that cultivates a healthy work environment and sets the pace and tone for achieving the desired outcomes. The result is that you make it easy for teammates and customers to stay on course when times get tough.
WHAT ELSE TO EXPECT
- HOURS: You will work daytime hours Monday-Friday, with extended hours for events. Weekend events are rare, but occasionally occur.
- LOCATION: You will be onsite 3-5 days weekly at our collaborative workspace near the medical center's midtown Nashville campus. Remote work is allowed when not required onsite.
- PHYSICIAL REQUIREMENTS: "Light Work" category requiring exertion up to 20 lbs. of force occasionally and uses negligible amounts of force to move objects.
- SUPERVISORY RELATIONSHIPS: You will not supervisor anyone and report to the Director of Strategy and Innovation
